About The Role

The Finance and Admin Executive will be responsible to provide support for the administrative functions in the daily operating of the head office and Day Activity Centre in Upper Thomson.

Core Responsibilities:
- To provide accounts and administrative support to the Finance and Admin Manager.
- Maintains a proper filing system for correspondences and other documents.
- Assists with product and service procurement processes for example, call for and summarise quotations.
- Attends to phone calls, emails and manning of office counters.
- Oversees the inventory and maintenance of office equipment.
- Assists with office events.
- Assists in preparing payment vouchers, official receipts and tax-exempt receipts.
- Assists in keeping track of monthly expenditure.
- Data entry into accounting software.
- Perform accounts payable function such as checking the validity of invoice, processing payment, sending of remittance advise and documentation.
- Perform any account receivable function (if any).
- Perform reconciliation of accounts including donation received versus Donation Management Systems’ record.
- Update Admin re client fee received via bank transfer.
- Maintain client fee register for monthly bank deposit (UT).
- Assist in any documentation needed for grant claims or audit.
- Assists with any tasks that may be assigned by the Finance and Admin Manager and the Executive Director.

- Min diploma in related field.
