About The Role

1. General Administration
• Maintain accurate and updated administration records
• Prepare forms, spreadsheets, receipts and documents, ensuring they are available and updated
• Ensure all equipment are in good working condition and available for the day-to-day operations
• Maintains a well-organized, tidy and clean office

2. Financial Administration
• Maintains proper and accurate record of all payments
• Prepares purchase requisition, transport, medical and dental reimbursements
• Prepares advance cash for all programmes and claims, closing of advance cash settlement after the end of each programme

3. Stock Management
• Assists in placing of orders for programme items from suppliers
• Assist in stock check on items and arrange for delivery and collection

4. Programmes Liaison Work
• Handle phone calls and face-to-face enquiries
• Assists Manager to coordinate meetings and taking minutes
• Prepares and photocopies of correspondence, notices and any other materials
• Maintains accurate and proper records of volunteers and beneficiaries
• Performs other supporting functions to programmes outreach which includes correspondences and engagements with external stakeholders

Candidate Requirements
Technical Competencies:

• Computer literate, especially in MS Office and Excel
• Effectively bilingual (dialect is an added advantage)
• Book-keeping or accounting knowledge will be an added advantage

Core Competencies:

• Good interpersonal and organizational skills
• Detailed and takes initiative
• Good team player and able to handle multiple projects under pressure
• Able to work on Saturday mornings
